Contract and commercial document coordination

Different destination, different document, different route.

We first verify the document purpose, destination and recipient requirements, then prepare materials and coordinate the applicable CCPIT commercial certification, Apostille or consular route.

01

Requirement intake

Confirm the document name, signing parties, original status, signing location, destination country, recipient, language, copies and deadline. We do not recommend processing by assumption when the recipient has not stated its requirement.

  • Recipient instruction or sample
  • Purpose and destination
  • Original, signature, seal and translation status
02

Contract and material pre-check

Check legal names, registration identifiers, signatures, seals, dates, currency, Incoterm, amount, attachments and cross-document consistency. Commercial and legal risks remain subject to final confirmation by the parties and their professional advisers.

03

Route verification

Based on document type and destination, verify whether CCPIT commercial certification, domestic notarization, Apostille or traditional consular legalization applies. A Hague Convention relationship does not mean every commercial document automatically follows the same route.

04

Authorized-body coordination

Coordinate submission, fees, corrections, progress and collection through the confirmed route. If the counterparty requests communication with an embassy commercial office or another authority, we can help organize the questions and documents but cannot promise acceptance or endorsement.

05

Transaction file

Archive the final contract, invoice, packing list, origin documents, certification pages, logistics documents, inspection report and approvals by project for performance, payment and dispute traceability.

Illustrative route

Document routes are case-specific. “Double authentication” is not a universal package.

The working sequence is requirement confirmation, entity and original verification, authorized-channel selection, submission and correction, then archival delivery. Issuance, certification, endorsement and legal effect are determined by the relevant authority and recipient.

A

Commercial document created in China

B

CCPIT commercial certification, notarization or another prerequisite depending on the document

C

Verify Apostille or consular legalization by destination

D

Final acceptance confirmed by the overseas recipient

Prepare before submission

A clear recipient instruction prevents most rework.

What must I provide?
Document scans, original status, signatory details, destination, recipient, written recipient requirements, language and deadline. Sensitive data may initially be redacted.
Can you guarantee timing?
No. We can provide an estimate based on current intake information, but corrections, holidays, policy, courier and authority processing affect timing.
Does contract certification make a trade safe?
No. Certification commonly verifies a signature, seal or document fact. It does not replace counterparty due diligence, sanctions screening, payment security, title, quality, performance capacity or legal review.
