Quality Inspection in China: How to Avoid Receiving Defective Goods
One bad shipment can destroy your business reputation. Quality inspection is the single most important step when importing from China — and the one most buyers skip to save money. Here's why that's a mistake, and how to do it right.
Why Quality Inspection Matters
Chinese factories optimize for cost, not quality. Without inspection, common problems include:
- Wrong materials — factory substitutes cheaper materials to increase profit
- Dimensional errors — products don't fit or function as specified
- Poor workmanship — loose stitching, rough edges, uneven finishes
- Wrong quantities — missing items or wrong color ratios
- Packaging damage — products arrive broken due to poor packing
An inspection costs $200-400. A bad shipment can cost $10,000+. The math is simple.
Stage 1: In-Process Inspection
When: Production is 30-50% complete.
Why: Catching defects early means the factory can fix them before the entire order is affected. It's much cheaper to correct 1,000 units than 10,000.
What we check:
- Raw materials match specifications
- Production process is correct
- Semi-finished goods meet quality standards
- Factory is on schedule for delivery
Stage 2: Pre-Shipment Inspection
When: Production is 100% complete, goods are packed and ready to ship.
Why: This is your last chance to catch problems before the goods leave China.
What we check:
- Appearance — visual defects, color consistency, surface quality
- Dimensions — measurements match your specifications
- Function — products work as intended
- Quantity — correct count per box and total
- Packing — correct labels, barcodes, packaging protection
- Weight — matches packing list
Understanding AQL (Acceptable Quality Level)
AQL is the international standard for sampling inspection. Instead of checking every single piece (which is expensive and slow), we randomly select a sample size based on your order quantity:
- Order of 500 pcs: inspect 50 pcs
- Order of 2,000 pcs: inspect 125 pcs
- Order of 10,000+ pcs: inspect 315 pcs
Common AQL levels: AQL 2.5 for general consumer goods, AQL 1.0 for critical defects. We recommend AQL 2.5 as a good balance between cost and quality assurance.
What's in an Inspection Report?
Every inspection we conduct includes:
- Detailed photos of products, defects, and packaging
- Measurement data vs. specifications
- Test results (function, safety, durability)
- Defect classification (critical / major / minor)
- Pass/Fail recommendation
- Packing and labeling verification
What Happens If Defects Are Found?
If the inspection fails, we:
- Immediately notify you with photos and details
- Discuss options: rework, replace, or accept with discount
- Supervise the factory's corrective actions
- Re-inspect after rework is complete
- Goods never ship without your written approval
